Production Coordinator

Role Overview

Aetherframe Studios is recruiting a Production Coordinator for Wings of Ash, an independent feature-length dark fantasy 3D animated film currently in pre-production.

We are looking for an organized, reliable individual who can help coordinate a remote production team, manage workflows, and ensure that departments work together efficiently.

This is a production management role rather than an artistic position.

Responsibilities

• Coordinate production tasks across different departments.

• Monitor task progress, deadlines, and production milestones.

• Organize and maintain the project's ClickUp workspace.

• Track dependencies between departments and identify blocked or delayed tasks.

• Follow up with team members and department leads regarding progress.

• Help assign tasks and organize production schedules.

• Identify staffing shortages and notify the director when additional artists are needed.

• Organize production updates and communicate important changes.

• Ensure completed work is submitted for review and approval.

• Assist the director with day-to-day production management.

Requirements

• Strong organizational and time management skills.

• Good communication and teamwork.

• Ability to manage multiple tasks and coordinate people.

• Familiarity with project management tools or willingness to learn ClickUp.

• Reliability, attention to detail, and problem-solving skills.

• Ability to communicate clearly in English.

Preferred

• Previous experience coordinating creative projects.

• Familiarity with animation or film production pipelines.

• Experience with ClickUp, Trello, Notion, or similar software.

• Experience managing remote teams.

Authority & Collaboration

The Production Coordinator may organize assignments, track progress, and communicate with department leads. Major creative decisions, final approvals, and changes to the project's overall direction remain with the director.

Compensation

Deferred profit sharing. No upfront payment or guaranteed earnings. Any future compensation depends on distributable profits and separately agreed written terms.
